Users and permissions
Updated August 24, 2026
The Users tab lists everyone who can log in to your account. It is also where you invite new people and remove people who have left. What each of them can do is not set on the person — it comes from the teams they belong to. This article covers both halves: the user list, and the permission model behind it.
Before you start
- Requires Account Settings = Restricted or Account Settings = Full on one of your teams, or being the account owner.
- Every user must belong to at least one team, so decide which team a new person joins before you invite them. See Teams.
- Adding a user consumes a paid seat. If the account is at its user limit the Add user button is padlocked — see Billing and plans.
Where to find it
Select Settings in the left sidebar, then the Users tab — or click your avatar and choose User settings. Direct link: https://app.pluspoint.io/account-settings/users.
How access works
Five rules explain almost everything about who can see what:
- A user has no permissions of their own. All access comes from team membership.
- A team carries three things: a permission tier for each module, a scope (which locations it covers), and its members.
- Belonging to several teams gives you the union of their access. The most generous team wins for each module.
- The account owner bypasses every check. There is exactly one owner per account, set on the Account tab.
- A module set to None disappears. Its sidebar item is not rendered and its URLs redirect to Home.
Three tiers exist: None, Restricted and Full. Not every module offers all three, so check the Tiers offered column below. Full always includes everything Restricted allows.
What each tier allows
| Module | Tiers offered | Restricted allows | Full adds |
|---|---|---|---|
| Contacts | Restricted, Full | View all contacts in the account | Create, Edit, Delete, Bulk actions, Import, Export |
| Locations | None, Restricted, Full | View locations and profiles, Upload/Delete media, Export CSV | Add/Import locations, Edit, Delete, Bulk edit, Export/Import, Sync, Analytics |
| Reviews | None, Restricted, Full | View, Reply to reviews, Use reply templates, Analytics, Widgets | Manage auto-replies and reply templates |
| Social | None, Full | — | Create, Edit, Delete, Schedule posts |
| Messaging | None, Restricted, Full | View, Reply, Reassign, Resolve/Re-open, Export, Analytics | AI Agents, Knowledge base |
| Web pages | None, Full | — | Create, Edit, Delete web pages |
| Surveys | None, Restricted, Full | View responses, Conversations, Tickets, View templates | Manage survey templates |
| Campaigns | None, Restricted, Full | View campaigns | Create, Edit, Delete campaigns |
| Coupons | None, Restricted, Full | View coupons | Create, Edit, Delete coupons |
| Account Settings | None, Restricted, Full | Users management: invite, edit, delete users | All settings: General, Billing, Brands, Users, Teams, Channels, Integrations |
Things this table does not make obvious:
- Contacts cannot be switched off. It has no None tier — every team can at least view the account’s contacts.
- Social and Web pages are all-or-nothing. They offer None or Full only.
- Analytics is not a separate permission. Each module’s analytics ride on that module’s tier.
- Pulse AI needs Messaging = Full. With Messaging = Restricted the Pulse AI sub-item is not shown and its routes send you back to the Inbox.
- Account Settings = None leaves only the Profile tab, and every other Settings URL bounces back to it. Account Settings = Restricted adds the Users tab and nothing else.
How scope narrows access
Scope is a property of the team, not of the person, and it is set in the team editor.
| Scope | Effect |
|---|---|
| Global access level | The team’s permissions cover every location in the account |
| Brand-based access level | Limited to the locations inside the selected brands |
| Location-based access level | Limited to the specific locations selected |
Scope only bites on scoped modules — Locations, Reviews, Social, Web pages, Surveys and Coupons. Contacts, Messaging, Campaigns and Account Settings are global and cover the whole account whatever the scope.
Messaging is the exception. Because it is global, scope does not decide which conversations someone sees — team ownership of the conversation does. Every conversation belongs to a team. It starts on the team that owns the channel it arrived on, and can later be moved with Move to team. A user sees the conversations owned by one of their teams, plus any conversation they were explicitly added to as a collaborator. The account owner and anyone with Account Settings = Full see everything. Teams covers this in detail.
Add a user
- Select Add user below the table.
- Under General info, fill in First name and Email. Last name (optional) and Phone number can be left blank.
- Under Teams, pick at least one team. If you have Account Settings = Full, the dropdown also offers Create team, which opens the full team editor without losing what you have typed.
- Select Save.
What the new person receives
Pluspoint sends one of two emails, depending on whether that address is already known:
| Situation | What is sent | What they do |
|---|---|---|
| The email has no Pluspoint login anywhere | An invitation email with a link to /accept-invitation/<token>, valid for 30 days | Set a password or continue with Google to finish setting up |
| The email already belongs to a Pluspoint user in another account | A “you were added” email linking to /login?accountId=… | Log in as usual; the new account appears under Switch account |
Their dashboard language follows the account’s locale.
Accepting an invitation
On the Set up your account page there are two ways to finish:
- Select Continue with Google and sign in with the same address the invitation was sent to.
- Or type a Password and select Create account. The password must be at least 8 characters and contain both letters and numbers.
Edit a user
Click the row. You can change their name, phone number and teams; the email is read-only. Changing teams is how you change what someone can do. There is nothing to set on the user themselves.
Two rows have no action icons at all:
- Your own row. You cannot edit or delete yourself. Change your own name and phone number on the Profile tab instead.
- The account owner’s row. Nobody can edit or delete the owner record from this table, the owner included. The owner changes their own details on the Profile tab. To move ownership, use Account owner on the Account tab.
Remove a user
- Select the delete icon at the end of the row.
- Confirm at Confirm deletion.
Removal is account-scoped and does a fair amount of tidying up:
- The person is removed from this account only. If they belong to another Pluspoint account, their login and that account survive untouched.
- Their team memberships in this account are removed.
- Their open conversations go back to the unassigned queue. Resolved conversations keep their name for history.
- Their collaborator grants, unread markers, push subscriptions and notifications for this account are deleted.
- Coupon templates they created remain, with the creator field cleared.
There is no deactivate or suspend state — someone is either a member of the account or removed from it.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| The Users tab is missing | Your teams grant Account Settings = None | Ask an admin to move you to a team with Account Settings = Restricted or Full |
| Add user has a padlock and the tooltip Upgrade to add more | The account has no free seats, or billing has lapsed | Raise Number of users in Billing and plans. The padlocked button is disabled entirely without Account Settings = Full |
| Upgrade your subscription to use this feature on save | You are over the paid user quota | Increase the number of users on the plan, or remove someone first |
| User with email … exists | That address is already a member of this account | Search the table for the address and edit the existing row instead |
| The new user says the invitation link does not work — This invitation link has expired. | Invitation links are valid for 30 days | Delete the pending user and add them again to issue a fresh link |
| No edit or delete icons on a row | It is your own row, or the account owner’s | Ask someone else to edit you; move ownership from the Account tab first if the owner needs to go |
| Saving a user fails with Unauthorized access | You are trying to add someone to a team more privileged than your own | Ask the account owner or someone with Account Settings = Full to do it |
| Deleting a user fails with Unauthorized access | The person belongs to a team whose permissions or scope exceed your own | Ask the account owner or someone with Account Settings = Full to remove them |
| Someone cannot see conversations you expect them to see | Those conversations belong to a team they are not in | Move the conversations or reassign the channel to one of their teams, or add them to the owning team |
| Someone cannot open Pulse AI | Pulse AI needs Messaging = Full | Raise the Messaging tier on one of their teams |
